Obtaining a Physical Therapy Appointment is a simple process. North Carolina is a "Direct Access" state for Physical Therapists, meaning that you do not have to have a physician referral (doctor's order) to be seen by a Physical Therapist. However, most insurance companies require a physician referral (doctor's order) to reimburse the cost of your care; it is therefore advisable to obtain an order for Physical Therapy evaluation & treatment from your doctor to minimize your personal cost.

What To Expect
You will meet our front desk staff upon your arrival. They will help you with your paperwork and update you with your insurance information, benefits, and eligibility and get authorization if needed, depending on your insurance carrier. You will be assigned to an experienced licensed physical therapist to work with you. Your physical therapist will evaluate your condition and create a customized plan of physical therapy care for you, based on the latest evidence of physical therapy clinical research.
You should be expecting a follow-up call within 24 to 48 hours after your initial visit to get your feedback. Our organization practices manual therapy and utilizes the most effective, research-based manual therapy techniques. We believe that teamwork and ongoing communication with your physician are paramount for effective patient care. We will be in close communication with your physician about your condition and progress.
PLEASE NOTE: Remember consistency of your visits and physical therapy treatment is very important in reaching your goals and return to a healthy lifestyle.

GENERAL OFFICE POLICIES
NO SHOW/CANCELLATION POLICY
Thank you for choosing Atlantic Coast Physical Therapy as your physical therapy provider. We are sincerely dedicated in assisting you in meeting your therapy goals. In order to do this, it is important that you attend all scheduled therapy appointments. Consistent attendance allows you and your therapist to progress your treatment program which will result in quicker recovery and better outcomes.
We realize that there are times when unforeseen circumstances make it impossible to attend your scheduled appointment. If this happens, please give us as much notice as possible so we can reschedule your appointment and open that time slot for another client. If you are calling after hours you may leave a message at 919-451-7787. Cancelling an appointment with short notice or no-showing an appointment takes up clinic time that could benefit another person.
In order to enforce this policy, you will be charged $50.00 if you cancel an appointment less than 24 hours before your appointment or do not show for an appointment. Your insurance does not cover charges for late cancellations or no-shows; it is the patient’s responsibility. “No showing” or canceling appointments without a 24 hour notice more than three times will unfortunately limit your ability to schedule advanced appointments and will result in same day scheduling only.
You should understand that when you no-show, 3 people get hurt: 1) yourself because you don’t get the treatment you need as prescribed by the doctor and our staff 2) the therapist who now has a vacancy in their schedule since the time was reserved for you personally 3) another patient who could have been given treatment if you had given us proper notice.
Regarding Lateness: If you are late, you may not get in your full treatment because it would mean other patients are delayed.
Regarding Being Early: Most of the time you will have to wait until your scheduled time to be seen because there are other patients who are still in treatment.
We want to make your physical therapy experience as beneficial as possible and your commitment is a very important part of this. If you know you are going to have a difficult time making your appointments, please discuss scheduling options with your therapist. We will try to accommodate your needs.
For your health’s benefit we have developed both a formal evaluation process and a discharge process. In each of these, the Physical Therapist prepares a report for your doctor.
Please understand that your insurance policy is a contract between you and your insurance company. While we may accept your insurance as payment, your contract with us is a separate agreement. In other words, if your insurance refuses to cover a certain treatment or otherwise fails to pay us, your contract with us still exists, and you are responsible for payment personally. Co-pays, deductibles and payments if you are a self-pay patient, are due at the time of service. We accept payments by credit card, check, cash or money order only.
We will allow, on special occasions, a long term payment plan budgeted on the individual according to need. In any event, if you request such a plan, you will sign a written agreement which must be given final approval by the Practice Manager. If at any point you have a problem regarding billing and payment, talk to our Insurance Specialist and they will arrange for you to see our Practice Manager.
